Our Cookie Policy outlines how we use cookies and similar technologies and how you can manage your choices.

  1. Introduction

RubiRecruit is a brand of Rippa AI Pty Ltd (ACN 688 812 151) ("RubiRecruit," "we," "us" or "our") and operates an online candidate screening platform and related services. In the course of operating our websites and web‑based applications (collectively, the "Services"), we may place small data files on your device known as cookies and other similar tracking technologies such as pixels, tags, local storage and scripts. We provide this Cookie Policy to explain what cookies are, why we use them, how you can manage them, and how our practices align with privacy regulations across different jurisdictions. This Cookie Policy forms part of our broader Privacy Policy.

Scope. This Cookie Policy applies to RubiRecruit’s Services and all domains and applications that link to it. It supplements our Privacy Policy. Where features such as cookie banners or preference centres are not available, you can still manage cookies using the controls described below.

  1. What are cookies?

Cookies are small text files that a website stores on your computer or mobile device. They enable a website to remember your actions and preferences (such as login details, language and font size) for a period of time. First‑party cookies are created by the website you visit, whereas third‑party cookies are placed by domains other than the site you are visiting. Cookies can also be classified by lifespan: session cookies expire when you close your browser, while persistent cookies remain on your device for an extended period. Cookies may also take the form of web beacons or pixel tags, which are small graphics embedded in web pages or emails that allow us to track usage and deliver relevant content.

Cookies are widely used to make websites work more efficiently, to enable certain features and to collect information about user behaviour. Understanding the types of cookies and their purposes allows you to make informed decisions about your privacy.

  1. Why we use cookies

We use cookies and related technologies for several legitimate purposes:

  • Enable core functionality – Some cookies are essential to the operation of our Services. For example, session cookies maintain your login status, remember which jobs you have applied for and secure your session.

  • Remember your preferences – Functional cookies store choices you make, such as language selection or display preferences, so that you do not have to set them again on subsequent visits.

  • Analyse website performance – Analytical or performance cookies help us understand how users interact with our Services. They collect aggregated data about pages visited, time spent on the site and referral sources. We use this information to improve the design and functionality of our Services.

  • Deliver personalised content and marketing – Marketing or advertising cookies collect information about your browsing habits, including across websites, to build a profile of your interests and show you relevant job recommendations or advertising. These cookies may come from us or from our advertising partners.

  • Security and fraud prevention – Certain cookies help detect unusual behaviour, protect against fraudulent login attempts and ensure that your account remains secure.

We do not store sensitive information, such as credit‑card numbers, in cookies. We also use cookies only for lawful purposes and adopt controls to avoid excessive data collection.

  1. Legal basis and consent

RubiRecruit operates globally, so our cookie practices are designed to align with applicable privacy laws and guidance including the GDPR, ePrivacy Directive, CCPA/CPRA, Australia’s Privacy Act 1988 and the Australian Privacy Principles (APPs), among others. Where consent is required for non‑essential cookies, we will obtain it before setting those cookies.

  • At present, our Services may not display a cookie banner or provide a self‑serve preference centre in all regions. Until those features are implemented, we limit cookies to those necessary for operation and performance improvements, and we rely on your browser and device controls for managing non‑essential cookies.

  • When a banner and preference centre are introduced, you will be able to review and change your cookie choices at any time, and non‑essential cookies will not be set without your consent.

You may withdraw consent (where previously given) at any time through your browser or device settings. Withdrawal does not affect the lawfulness of processing that occurred before withdrawal.

  1. Types of cookies we may use

Our website may use cookies to enhance your browsing experience and collect information about how you interact with our site. You can adjust your browser settings to refuse cookies or alert you when cookies are being sent, but some features of the site may not function properly without cookies.

Types of cookies we may use
We may use the following categories of cookies on our Services. We update this list periodically.

  • Strictly necessary

    • Purpose: Enable core site functions (e.g., logging in, applying for jobs, load balancing, session management, security). Without these, the site may not function properly.

    • Typical duration: Session or up to 1 year, depending on the function.

    • Current usage: In use.

  • Functional / preference

    • Purpose: Remember choices (e.g., language, location, accessibility settings) and provide enhanced personal features. Without these, some preferences may need to be re-entered.

    • Examples: remember_me, preferred_language, UI customisation, chat-widget settings.

    • Typical duration: Up to 12 months.

    • Current usage: Used only where required for a requested feature.

  • Analytical / performance

    • Purpose: Collect aggregated information about how visitors interact with our Services (e.g., pages visited, time on page, navigation paths) to analyse and improve performance and user experience.

    • Examples: First-party analytics IDs. If third-party analytics are introduced, details will be added here.

    • Typical duration: 1 minute to 24 months, depending on the cookie.

    • Current usage: Limited to essential measurement. No non-essential analytics set without consent.

  • Marketing / advertising

    • Purpose: Build a profile of your interests based on browsing habits and display relevant recommendations or ads; may track across multiple websites.

    • Examples (if enabled in future): Google Ads (_gcl_au), LinkedIn Insight Tag, Facebook Pixel (_fbp), TikTok Pixel.

    • Typical duration: 1 month to 24 months.

    • Current usage: Currently not used. Will only be enabled with appropriate consent controls.

  1. Third‑party cookies and embedded content

When you interact with certain third‑party services through our Services - such as embedded videos, maps, job boards or social media plugins - those third parties may place cookies on your device. These cookies are controlled by the third‑party providers and are subject to their own privacy and cookie policies.

  1. Managing your cookie preferences

Browser and device settings

Until a cookie banner and preference centre are available on our Services, you can manage cookies using your browser or device settings. Most browsers allow you to block new cookies, delete existing cookies or notify you when cookies are set. Blocking or deleting certain cookies may impair functionality, including the ability to log in or submit job applications.

Some browsers offer "Do Not Track" or Global Privacy Control (GPC) settings. When we detect such signals and they are legally recognised, we will treat them as an opt‑out from non‑essential cookies where applicable.

Opt‑outs with third parties

Where we use third‑party analytics or advertising services, you can also manage your preferences directly with those providers or through industry opt‑out tools where available.

  1. Data retention and security

We retain cookie data only for as long as necessary to fulfil the purposes described in this policy or as required by law. Where possible, we use session cookies instead of persistent cookies and set expiration periods consistent with the purpose for which the cookie is used. We implement technical and organisational measures—including encryption, access controls and regular security testing—to protect cookie data from unauthorised access and disclosure. We do not store sensitive information such as payment details within cookies.

  1. International data transfers

Because RubiRecruit serves clients and candidates globally, information collected through cookies may be processed in countries other than the one where you reside. We rely on appropriate legal mechanisms, such as adequacy decisions or standard contractual clauses, to ensure that any cross‑border data transfers comply with applicable data‑protection laws. For users in the European Economic Area, we will not transfer personal data to a third country without ensuring that appropriate safeguards are in place.

  1. Your rights

Depending on your jurisdiction, you may have rights under data‑protection laws, including the right to access, correct or delete personal data collected via cookies, the right to withdraw consent and the right to object to processing for direct marketing. For a complete description of your rights and how to exercise them, please refer to our Privacy Policy.

  1. Updates to this Cookie Policy

We may amend this Cookie Policy to reflect changes in our cookie practices, legal obligations or technological advancements. We will post the updated version on our website and indicate the effective date at the top of the document. If the changes are material, we may also display a notice on our Services or send an email notification.
